Resource Interlink (“we”, “us”, “our”) is committed to protecting your privacy. This policy explains what personal information we collect, why we collect it, how we use and protect it, and the rights you have over it. It applies to visitors to our website and clients who use our cleaning services.
1. Who we are

For any privacy questions, or to exercise your rights, contact us using the details above.
2. Information we collect
Depending on how you interact with us, we may collect:
- Enquiry details — your name, email address, phone number, company name and the content of your message when you contact us or request a quote.
- Service data — the information we need to deliver cleaning services to clients and to manage assignments, including site access details, schedules and contact information.
- Payment data — bank details and billing information where we invoice clients.
- Website data — basic technical information such as your IP address, device type, browser and how you use our site, collected through cookies and similar technologies (see section 9).
We collect most of this information directly from you. We may also receive information from third parties such as background-check providers where required for our cleaning teams.
3. How we use your information
We use your personal information to:
- respond to your enquiry and provide a quote;
- carry out background checks where required for our cleaning teams;
- deliver, manage and improve our cleaning services;
- process payments and invoicing;
- communicate with you about your enquiry, assignment or our services;
- keep our records accurate and up to date; and
- meet our legal, regulatory and contractual obligations.
We do not make decisions about you based solely on automated processing.
4. Our legal basis for processing
Under UK data protection law, we rely on the following legal bases, depending on the activity:
- Consent — for example, sending you marketing. You can withdraw consent at any time.
- Steps before entering a contract — for example, responding to your enquiry at your request.
- Performance of a contract — for example, delivering cleaning services to clients.
- Legal obligation — for example, keeping tax and employment records where required.
- Legitimate interests — for example, running and promoting our business, preventing fraud and keeping our services secure. Where we rely on legitimate interests, we balance them against your rights.
Special category and criminal-record data. Some background information — such as criminal-record (DBS) check results for our cleaning teams — receives extra protection under UK GDPR. Where we process this data, we do so only where the law allows, typically for reasons of substantial public interest or to comply with employment law obligations, and always with appropriate safeguards in place.
5. Sharing your information
We share your information only where necessary, and only with parties who are obliged to keep it secure. This may include:
- Background-check providers — where vetting is required for our cleaning teams.
- Service providers — trusted suppliers who help us run our business, such as IT, hosting and professional advisers, acting on our instructions.
- Regulators and authorities — where we are required to by law.
We do not sell your personal information.
6. International transfers
We are based in the UK and aim to keep your data within the UK or European Economic Area. If we ever transfer your data outside these areas — for example, if a client, employer or supplier is located abroad — we will make sure appropriate safeguards are in place, such as UK-approved standard contractual clauses or an adequacy decision.
7. How we keep your information secure
We use appropriate technical and organisational measures to protect your personal information against loss, misuse and unauthorised access, including access controls, secure storage and staff confidentiality obligations. No method of transmission over the internet is completely secure, but we take reasonable steps to safeguard your data once we receive it.
8. How long we keep your information
We keep personal information only for as long as we need it for the purposes set out in this policy, or as required by law. As a general guide:
- Enquiries that don’t proceed: up to 12 months
- Active client records: for the duration of the relationship and then as required by law
- Tax and financial records: 6 years, to meet HMRC requirements
- Criminal-record (DBS) check results: retained only as long as necessary, then securely destroyed
When we no longer need your information, we securely delete or anonymise it.
9. Cookies and analytics
Our website uses cookies and similar technologies to help it function and to understand how visitors use it. Cookies fall into categories such as:
- Strictly necessary — needed for the site to work.
- Analytics / performance — help us understand site usage (for example, if we use a tool such as Google Analytics).
- Functional — remember your preferences.
You can control non-essential cookies through our cookie banner and manage or delete cookies through your browser settings.
10. Your rights
Under UK data protection law you have the right to:
- access the personal information we hold about you;
- correct inaccurate or incomplete information;
- erase your information in certain circumstances;
- restrict or object to how we use your information;
- request data portability; and
- withdraw consent at any time, where we rely on it.
To exercise any of these rights, contact us at [email protected]. We will respond within one month.
If you have a concern we haven’t resolved, you can also complain to the Information Commissioner’s Office (ICO) at ico.org.uk, by calling 0303 123 1113, or by writing to Information Commissioner’s Office, Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF.
11. Changes to this policy
We may update this policy from time to time. The latest version will always be available on this page, and the “Last updated” date at the top will show when it last changed.
