Privacy policy

How Resource Interlink collects, uses and protects your personal information.

Resource Interlink (“we”, “us”, “our”) is committed to protecting your privacy. This policy explains what personal information we collect, why we collect it, how we use and protect it, and the rights you have over it. It applies to visitors to our website, clients, job candidates, and the workers we place.

1. Who we are

Resource Interlink provides cleaning and recruitment services across the UK. We are the “data controller” responsible for the personal information described in this policy.

2. Information we collect

Depending on how you interact with us, we may collect:

  • Enquiry details — your name, email address, phone number, company name and the content of your message when you contact us or request a quote.
  • Recruitment and candidate data — your CV, work history, qualifications, references, employment preferences, right-to-work documentation (e.g. passport or visa details), and any other information you provide when you apply for or are placed in a role.
  • Background-check data — where a role requires it, results of criminal-record checks (DBS checks) and reference checks. This is treated with additional care (see section 4).
  • Service data — the information we need to deliver cleaning or staffing services to clients and to manage assignments, including site access details, schedules and contact information.
  • Payment and payroll data — bank details, National Insurance number and tax information where we pay workers or invoice clients.
  • Website data — basic technical information such as your IP address, device type, browser and how you use our site, collected through cookies and similar technologies (see section 9).

We collect most of this information directly from you. We may also receive information from third parties such as referees, background-check providers, and (for candidates) prospective employers.

3. How we use your information

We use your personal information to:

  • respond to your enquiry and provide a quote;
  • assess applications, match candidates with roles, and manage the recruitment process;
  • carry out reference and background checks where a role requires them;
  • deliver, manage and improve our cleaning and staffing services;
  • process payments, payroll and invoicing;
  • communicate with you about your enquiry, application, assignment or our services;
  • keep our records accurate and up to date; and
  • meet our legal, regulatory and contractual obligations.

We do not make decisions about you based solely on automated processing.

4. Our legal basis for processing

Under UK data protection law, we rely on the following legal bases, depending on the activity:

  • Consent — for example, keeping your CV on file for future opportunities, or sending you marketing. You can withdraw consent at any time.
  • Steps before entering a contract — for example, responding to your enquiry or progressing your job application at your request.
  • Performance of a contract — for example, delivering services to clients or placing and paying workers.
  • Legal obligation — for example, confirming a worker’s right to work in the UK, and keeping tax and employment records.
  • Legitimate interests — for example, running and promoting our business, matching candidates to roles, preventing fraud and keeping our services secure. Where we rely on legitimate interests, we balance them against your rights.

Special category and criminal-record data. Some background information — such as criminal-record (DBS) check results, and any health information relevant to a placement — receives extra protection under UK GDPR. Where we process this data, we do so only where the law allows, typically for reasons of substantial public interest, to comply with employment law obligations, or with your explicit consent, and always with appropriate safeguards in place.

5. Sharing your information

We share your information only where necessary, and only with parties who are obliged to keep it secure. This may include:

  • Prospective employers and clients — for candidates, we share relevant details with employers considering you for a role, with your knowledge.
  • Background-check and reference providers — where a role requires vetting.
  • Service providers — trusted suppliers who help us run our business, such as IT, hosting, payroll and professional advisers, acting on our instructions.
  • Regulators and authorities — where we are required to by law.

We do not sell your personal information.

6. International transfers

We are based in the UK and aim to keep your data within the UK or European Economic Area. If we ever transfer your data outside these areas — for example, if a client, employer or supplier is located abroad — we will make sure appropriate safeguards are in place, such as UK-approved standard contractual clauses or an adequacy decision.

7. How we keep your information secure

We use appropriate technical and organisational measures to protect your personal information against loss, misuse and unauthorised access, including access controls, secure storage and staff confidentiality obligations. No method of transmission over the internet is completely secure, but we take reasonable steps to safeguard your data once we receive it.

8. How long we keep your information

We keep personal information only for as long as we need it for the purposes set out in this policy, or as required by law. As a general guide:

  • Enquiries that don’t proceed: up to 12 months
  • Unsuccessful candidate applications: 6–12 months, then deleted or anonymised, unless you ask us to keep your CV on file
  • Placed workers and active client records: for the duration of the relationship and then as required by law
  • Payroll, tax and financial records: 6 years, to meet HMRC requirements
  • Criminal-record (DBS) check results: retained only as long as necessary for the decision, then securely destroyed

When we no longer need your information, we securely delete or anonymise it.

9. Cookies and analytics

Our website uses cookies and similar technologies to help it function and to understand how visitors use it. Cookies fall into categories such as:

  • Strictly necessary — needed for the site to work.
  • Analytics / performance — help us understand site usage (for example, if we use a tool such as Google Analytics).
  • Functional — remember your preferences.

You can control non-essential cookies through our cookie banner and manage or delete cookies through your browser settings.

10. Your rights

Under UK data protection law you have the right to:

  • access the personal information we hold about you;
  • correct inaccurate or incomplete information;
  • erase your information in certain circumstances;
  • restrict or object to how we use your information;
  • request data portability; and
  • withdraw consent at any time, where we rely on it.

We may update this policy from time to time. The latest version will always be available on this page, and the “Last updated” date at the top will show when it last changed.
